The difference between a Venue Coordinator and a Wedding Coordinator

A venue coordinator focuses on the logistics and operation of the venue itself, ensuring the space is ready and functioning properly. A wedding coordinator works with the couple to execute all aspects of their wedding, managing details, including vendor collaboration and ensuring the event runs smoothly according to the couple's vision

A Venue Coordinator and venue staff work to ensure the venue is clean, functional, and ready for any event. They often coordinate with catering and banquet staff, ensuring venue rules are followed and address venue-related issues like room temperature, restrooms, setup of the room with tables, chairs, and adjusting the lighting.

A Wedding Coordinator supports the couple and their wedding vision. An experienced wedding coordinator will work closely with the venue coordinator to be sure the event is set as the couple wants for a beautiful and elegant atmosphere, or a comfortable family feel. Most wedding coordinators create a detailed wedding timeline, collaborate with all vendors' arrival & departure times, especially ensuring the photographer is available for all of the memorable moments. Working a few months in advance, they provide expert knowledge of wedding traditions and procedures, offer ideas and suggestions for a cohesive design, communicate clearly, allowing the couple to make final decisions to book vendors, purchase or rent decor, and get the marriage license and secure an officiant.

On the day of the wedding, a wedding coordinator will check that all decor is set up as the couple wants, help the family and wedding party with last-minute things, troubleshoot last-minute issues, and step in as a chaos wrangler as necessary. A good wedding coordinator will tend to the couple and their family's needs and keep the reception running well and on time by working with the variety of vendors. They will check in with those presenting toasts/speeches so they know when it's their turn to speak. Often, a tear-down crew will help pack up decor at the end of the night so rentals and personal items get returned where they belong, while the couple exits the reception to start their married life together.

In essence: The venue coordinator is the venue's "on-site" manager, while the wedding coordinator is the couple's "day-of" and "planning" point person. But, a day-of- coordinator is SO MUCH MORE than only the day of the event.
